Here you will find important details, deadlines, specifications and opportunities pertaining to your exhibit at The Experience Conference and Exhibition taking place April 8-10, 2025 at the Charlotte Harbor Event & Conference Center in Punta Gorda, FL .

    • Exhibitors will be able to promote their participation in The Experience Conference and Exhibition by requesting access to email attendees up to one time before or after the event (restrictions apply).  See Pre & Post eblast information section below. 
  • Company Profile included in Online Floorplan and Mobile App
    • Exhibitors receive a company listing on the event website's floor plan and event mobile app. Exhibitors will receive an email with a link to add/update your profile on the interactive floor plan.  The profile that is uploaded to the floor plan will be used to create each exhibiting company's directory listing in the mobile app. If you have any questions or need assistance uploading your company profile please contact Andrea Hanson.

A/V, ELECTRICAL, INTERNET & FOOD & BEVERAGE

Electrical/Plumbing, Audio Visual, Internet and Booth Food & Beverage

Each 10'x10' has a standard electrical drop included with the booth.

There is free wifi available in the Charlotte Harbor Event & Conference Center intended for basic use. If you have a greater service need and require a dedicated line, please contact Experience Event Manager, Andrea Hanson for pricing and to arrange.


VEHICLES

MUST ARRIVE ON = Monday, April 7, 2025 by 3pm

If you will be bring a vehicle to display in the exhibit hall*:
  • Please let Andrea Hanson know and include the make, model and size of vehicle
  • Vehicles must arrive on Monday, April 7th, 2025 by 3pm
  • Vehicles must have only 1/4 tank of gas upon entering the building
  • Please have a drip pan under the vehicle. Building will charge you for any leakage on the carpet
  • Batteries must be disconnected once place in booth
There are no spotting or permit fees for exhibiting vehicles at the Spring Experience
*Must have a 10x20 booth to exhibit a vehicle

No materials may be packed up, loaded or removed from the Exhibit Hall before 3:00 pm on Thursday, April 10.

All exhibit materials must be out of the exhibit hall by 6:00pm and all shipments must be picked up and out of the building.

DIRECT TO SHOW SITE SHIPPING = March 31 - April 8, 2025

  • Items can be shipped direct to show site. There are no material handling or drayage fees for this event.
  • Shipments can arrive at convention center starting March 31st arriving through show days.
  • Shipments will be in your booth when you arrive on Tuesday April 8th for set up
  • Please download and attach to all boxes this exhibitor label
  • Be sure to bring all tracking information onsite with you

OUTBOUND SHIPPING
  • All carriers must be checked in by 4pm April 10th for outbound pick ups
  • If shipping out via UPS or FedEx, all boxes will need to be packed up and labeled and a pick up will need to be scheduled
    • Be sure to bring your labels with you, there is not a place to print labels for outbound shipping 



LIABILITY INSURANCE

DEADLINE = MARCH 21, 2025

It is a standard requirement for all exhibitors to carry general liability coverage from an insurance company in good standing with minimum policy limits of $1,000,000 per occurrence and $2,000,000 aggregate. BNP Media (550 W Merrill St., Suite 200, Birmingham, MI 48009, 248-362-3700) and Charlotte Harbor Event & Conference Center (75 Taylor Street, Punta Gorda, FL 33950) shall be named as additional insured. This insurance must be in force during the lease dates of the event. This insurance must be in force during the lease dates of the event, April 8-10, 2025.


Proof of Insurance is Mandatory
Having insurance will protect your company, employees, and volunteers, should a claim arise against you for something that occurred at your booth. If you already have compliant coverage, please forward your proof of insurance to hansona@bnpmedia.com.


If you do not have coverage, it can easily be secured through Rainprotection.

There are no applications to fill out. Simply purchase your insurance, which is already pre-filled with all of the proper show information, directly online using a credit card. Your Insurance Certificate is instantly emailed to you and a copy is sent to show management.

HOTEL & TRAVEL

DEADLINE FOR DISCOUNTED RATES =MARCH 6, 2025

The EXPERIENCE has room blocks at four hotels in close proximity to the Charlotte Harbor Event & Conference Center. Please visit the Travel Page for detailed information on the hotels, pricing, proximity and discount deadlines.


Beware of unauthorized hotel solicitations and avoid companies falsely posing as a partner of the Show. For your protection, only book directly with the hotels listed on the Travel Page.


EXHIBITOR REGISTRATION

REGISTRATION DEADLINE = MARCH 20, 2025

Exhibitors and sponsors receive complimentary full conference staff registrations based on the level and type of package purchased. The exhibitor/sponsor contact will be provided a customized complimentary registration code via email to redeem their staff registrations. Badge registration instructions will come from The Experience Conference & Exhibition (experience@bnp-event-info.com)

AVOID SCAMS

ATTENDEE LIST

Numerous companies have been contacting The Experience attendees, sponsors and exhibitors claiming to sell/rent The Experience attendee list. Any third party attempting to solicit money in exchange for attendee information is fraudulent. Neither The Experience nor any of our partners will ever distribute attendee information except as outlined in our sponsorship contracts and privacy policy.

Many of these firms are increasingly deceptive and aggressive in their marketing tactics - sometimes falsely including The Experience logo/website/name in their email signatures. These companies have no affiliation with The Experience, Restoration & Remediation Magazine or BNP Media and should be ignored. Unfortunately, because company names and “From” email addresses frequently change, it makes it very challenging to stop their actions.

We’re sorry for the inconvenience that these spammers cause you — we also receive these deceptive emails.

HOTELS

The Experience has secured a number of discounted room rates at 4 local hotels. For your protection, only book via the online reservations links on the event website or call the hotel directly and ask for the “The Experience” group rate.

Avoid companies falsely posing as a partner of the Show. These brokers falsely imply they are affiliated with The Experience and secure deposits and/or full prepayment fraudulently. Companies or attendees who book rooms through a “third party room broker” often end up at sold out hotels with no reservations and no recourse for the payment of rooms.



PRE and POST SHOW EMAIL

As an exhibitor, you have the opportunity to send either a pre show or post show email directly to event attendees that “opted-in” to receive third-party communications. Pre-show emails can be requested from February 7, through March 19, 2025 with deployment dates made available on a first-come, first-served basis.
Post-event emails can be requested from April 11 through July 7, 2025 with deployment dates made available on a first-come, first-served basis.
