DEADLINE = MARCH 21, 2025
It is a standard requirement for all exhibitors to carry general liability coverage from an insurance company in good standing with minimum policy limits of $1,000,000 per occurrence and $2,000,000 aggregate. BNP Media (550 W Merrill St., Suite 200, Birmingham, MI 48009, 248-362-3700) and Charlotte Harbor Event & Conference Center (75 Taylor Street, Punta Gorda, FL 33950) shall be named as additional insured. This insurance must be in force during the lease dates of the event. This insurance must be in force during the lease dates of the event, April 8-10, 2025.
Proof of Insurance is Mandatory
Having insurance will protect your company, employees, and volunteers, should a claim arise against you for something that occurred at your booth. If you already have compliant coverage, please forward your proof of insurance to hansona@bnpmedia.com.
If you do not have coverage, it can easily be secured through Rainprotection.

Beware of unauthorized hotel solicitations and avoid companies falsely posing as a partner of the Show. For your protection, only book directly with the hotels listed on the Travel Page.
REGISTRATION DEADLINE = MARCH 20, 2025
Exhibitors and sponsors receive complimentary full conference staff registrations based on the level and type of package purchased. The exhibitor/sponsor contact will be provided a customized complimentary registration code via email to redeem their staff registrations. Badge registration instructions will come from The Experience Conference & Exhibition (experience@bnp-event-info.com)
If additional registrations are needed above and beyond the complimentary passes, they are available for purchase through the registration site

Numerous companies have been contacting The Experience attendees, sponsors and exhibitors claiming to sell/rent The Experience attendee list. Any third party attempting to solicit money in exchange for attendee information is fraudulent. Neither The Experience nor any of our partners will ever distribute attendee information except as outlined in our sponsorship contracts and privacy policy.
Many of these firms are increasingly deceptive and aggressive in their marketing tactics - sometimes falsely including The Experience logo/website/name in their email signatures. These companies have no affiliation with The Experience, Restoration & Remediation Magazine or BNP Media and should be ignored. Unfortunately, because company names and “From” email addresses frequently change, it makes it very challenging to stop their actions.
We’re sorry for the inconvenience that these spammers cause you — we also receive these deceptive emails.
The Experience has secured a number of discounted room rates at 4 local hotels. For your protection, only book via the online reservations links on the event website or call the hotel directly and ask for the “The Experience” group rate.
Avoid companies falsely posing as a partner of the Show. These brokers falsely imply they are affiliated with The Experience and secure deposits and/or full prepayment fraudulently. Companies or attendees who book rooms through a “third party room broker” often end up at sold out hotels with no reservations and no recourse for the payment of rooms.

POST-SHOW EMAIL REQUESTS = April 11, 2025 - June 23, 2025
As an exhibitor, you have the opportunity to send either a pre show or post show email directly to event attendees that “opted-in” to receive third-party communications. Pre-show emails can be requested from February 7, through March 19, 2025 with deployment dates made available on a first-come, first-served basis.
Post-event emails can be requested from April 11 through July 7, 2025 with deployment dates made available on a first-come, first-served basis.
